Overview

BillingReconcile processes the data needed to help managed service providers compare PSA-side billed quantities against real usage data from connected vendor systems. The goal is practical billing review: finding underbilling, overbilling, unmapped clients, duplicate seats, service mapping issues, and related discrepancies before invoices are sent.

What data BillingReconcile processes

Depending on the integrations and workflows a customer enables, BillingReconcile may process organization information, user account information, client names, service names, product names, agreement or invoice quantities, license counts, device counts, external integration IDs, sync history, alert history, mapping data, billing history, and reconciliation results.

How BillingReconcile uses data

BillingReconcile uses customer data to provide, maintain, secure, support, troubleshoot, and improve the service. Where practical, improvements are based on aggregated, de-identified, or operational usage information rather than MSP client-specific data. This includes reconciliation workflows, discrepancy reporting, client mapping, service mapping, sync status, alerts, billing history, support troubleshooting, and related billing review features.

BillingReconcile does not sell customer data and does not use MSP client data for advertising or unrelated marketing.

BillingReconcile does not use customer billing data or MSP client data to train public AI models.

Data BillingReconcile does not need

BillingReconcile does not require MSP client passwords, full payment card numbers, mailbox contents, unrelated business documents, or remote-control access to perform billing reconciliation.

Integration credentials and tokens

Customers choose which integrations to connect and are responsible for granting appropriate permissions. BillingReconcile stores integration credentials or tokens only where needed to connect, sync, and maintain the integration. Customers should use the least-privilege access level that supports reconciliation. More detail is available on the Integration Permissions page.

Sync history, logs, and alerts

BillingReconcile may keep sync status, sync timestamps, error details, alert history, and audit-style records so customers can understand what changed, troubleshoot failed syncs, and review billing decisions. These records may include integration IDs, client or product references, counts, and system messages.

Data retention

Customer data is kept for as long as reasonably needed to provide the service, maintain account records, support billing and security operations, comply with legal or tax obligations, resolve disputes, and operate backups. Retention periods may vary by data type and customer plan.

Customer data may be processed in Canada, the United States, or other locations where BillingReconcile or its service providers operate.

Data deletion requests

Customers may request access, correction, export, or deletion of organization data by contacting support. Cancelling a subscription does not automatically delete organization data. Some data may be retained for a limited period after cancellation where needed for backups, legal, tax, security, fraud-prevention, dispute-resolution, or legitimate business purposes.

Backups

Backups help protect service availability and recoverability. Data removed from the active service may remain in backups for a limited period until those backups expire or are overwritten through normal backup processes.

Support access

BillingReconcile personnel may access customer data when reasonably needed to provide support, investigate errors, maintain security, prevent abuse, or operate the service. Access should be limited to people and situations where there is a business need.
